Catering Administrative Assistants are dedicated to providing administrative support to Catering Managers and the efficiency of the Catering Sales Operation. Their demeanor should reflect the companys core service standards, brand attributes, and sustainability initiatives. All duties are performed in accordance with department and property policies, practices, and procedures. - Establish positive working relationships and partnerships with all ARIA team members and vendors using the core value to be respectful and considerate. - Establish positive working relationships and partnerships with all external clients by providing excellent customer service consistent with the propertys core values. - Maintain a professional appearance and demeanor at all times. - Assist clients and direct calls, making a concerted effort to ensure that the client reaches the appropriate individual, and/or takes messages if necessary. - Independently compose and prepare correspondence for Catering Management, including, but not limited to, guest letters, documents for signature, reports and agendas. - Create and maintain departmental files. - Assist in completing and handling proper distribution of company paperwork for Catering management. - Independently assess potential problems or issues that require immediate attention. - Assist Catering as well as Banquet Services management with special projects and assignments. - Assist management with the hiring process. - Effectively communicate with management, chefs and staff in order to fulfill and address any issues or needs requested by guests and/or other employees. - Proactively work as a team player to support colleagues and maintain operational productivity. - Coordinate travel arrangements, hotel reservations and car rentals as required for Catering management business travel needs. - Maintain confidentiality and security of specified hotel information, correspondence, reports and files. - Work safely while promoting a safe work environment by following all health and safety regulations. - Follow all procedures and policies set forth by the company, division and department. - Maintain complete knowledge of and comply with all departmental policies, service procedures and standards. - Perform all other job related duties as requested. Required: - At least 21 years of age. - At least 1 year of high-volume administrative experience. - Working knowledge of office equipment including copiers, printers, faxes and telephones. - Working knowledge of proper phone etiquette, ability to handle multiple lines. - Excellent customer service skills. - Have interpersonal skills to deal effectively with all business contacts. - Work varied shifts, including weekends and holidays. - High School diploma or equivalent. - Working knowledge of Microsoft Word and Excel. - Able to effectively communicate in English, in both written and oral forms. Preferred: - Previous experience working in a Food & Beverage or Catering department. - Previous experience working in a similar resort setting.
