Job Description:

BASIC FUNCTION:

Provides executive-level administrative support for the Executive Office.

ORGANIZATIONAL RELATIONSHIPS:

Reports to: Senior Managing Director or General Manager and Executive VP, SWSNV

ACCOUNTABILITIES/DESIRED RESULTS:

? Responsive and accurate administrative support

? Able to work independently without supervision

? Able to communicate effectively with all levels of the organization, customers and suppliers

ASSIGNMENTS AND ACTIVITIES:

? Organizes and types a variety of correspondence, reports and internal documents

? Performs a variety of administrative/clerical functions to support the executives

? Schedules appointments

? Generates reports, handles multiple projects, prepares/monitors invoices and expense reports

? Plans conferences and meetings on behalf of Director

? Executes travel reservations and keeps calendar of appointment

? Answers and responds to executive telephone calls and keeps accurate logs

POSITION CHALLENGES:

? Frequent interruptions

? Managing changes in plans and schedules

? Extremely heavy workload

DECISION MAKING EXAMPLES:

? Determining when calls or visitors need to be put through and addressed immediately by senior management

? Determining when calls or visitors can be referred to other staff for appropriate handling

? Scheduling appropriate appointments

? Determining appropriate steps to protect confidentiality of sensitive issues

MINIMUM QUALIFICATIONS:

? Extensive use of all Microsoft Office products

? Five years office experience, three years as an executive assistant

? Accurately type 60 wpm

PREFERRED QUALIFICATIONS:

? Ten years office experience, six years as an executive assistant

? Four year college degree
