Learn more about how we build homes built on relationships by visiting SUMMARY: Provide administrative support to the DUP and Studio departments, facilities management and other admin responsibilities for the division office. ESSENTIAL DUTIES AND RESPONSIBILITIES: Studio Coordinator - 2 days per week:

  • Schedule and confirm appointments (email electricians). Add available appointments for the month to the calendar
  • Enter studio final dates in as400
  • Manage finals spreadsheet
  • Deliver NHO letters to consultants
  • Deliver hot sheets to consultants. Send out email for missing hot sheets to sales agents
  • Enter traffic daily (submit every Friday and the end of the quarter to escrow)
  • Finalize flooring to the DM
  • Print browse packets for walk insAdministrative/Facility Duties:
    • Order office supplies and stock for all office and field employees
    • Responsible for main reception areas
    • Process and distribute all incoming mail, and coordinate overnight packages
    • Sorting and stamping all invoices with the date and accounting payment stamp.
    • Process check requests for payments.
    • Manage postage machine and replenish postage meter fund
    • Order coffee and water deliveries for office, studio and field offices
    • Disburse memorandums and emails relating to office procedures, reminders, luncheons, and office events.
    • Schedule luncheons and conference rooms for meetings, and holidays.
    • Coordinate Janitorial for division office/studio/conf room 150A and models.
    • Process invoices specifically for office maintenance, supplies, and equipment
    • Coordinate and implement office building improvements, deal with vendors, subcontractors, and property management company to perform the work
    • Administer and schedule testing of potential employees
    • Setup Tricor services to field offices, including labels, mail bins, courier pouches
    • Distribute expense/mileage checks from accounting, payroll check vouchers.
    • Coordinate offsite storage facilities. Handle receiving and sending boxes to storage.
    • Coordinate shredding services for office, studio and field
    • Order Business Cards
    • Order uniforms and name badges
    • Distribute Business Plan and Monthly Checklist
    • Receive voicemails and distribute accordingly
    • Coordinate and manage all office equipment maintenance
    • Complete Vendor Request Forms for all employees and Frozen Vendors
    • Assist all Field employees with maintenance
    • Manage visitor log and badgesAdministrative Duties
      • Assist all office employees with extra workloads EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS: Education
        • Minimum high school diploma or equivalentExperience
          • Must have at least 1-2 years of administrative experience in professional environmentKnowledge, Skills & Abilities
            • Strong verbal and written communication skills
            • Multi-task oriented
            • Strong organizational skills
            • Must be proficient in Microsoft Office
            • Sense of urgency and bias for action is essential
            • Ability to work well under pressure and consistently meet deadlines
            • A solid understanding of confidentiality and possess the ability to maintain extreme confidentiality on dealing with sensitive corporate issues.
