Position Summary

The administrative assistant supports the SVP, IT Administration & Governance, Chief Information Officer (CIO) and other groups and executives within the Information Technology department. The administrative assistant will participate in the business of Information Technology, meetings, and small projects, and must develop a general understanding of Credit One Bank and the work of Information Technology.

Responsibilities include tracking critical deadlines for institutional and departmental documents and deliverables, proofreading documents, scheduling and preparing meetings, managing expense reimbursements, and coordinating travel. The administrative assistant must be experienced in such a role and able to demonstrate a high degree of independence and initiative in delivering organizational elements of this role.

The position is based in Las Vegas, NV and will report to the SVP, IT Administration & Governance.

Summary Essential Job Functions

  • Provides administrative support to the SVP, IT Administration & Governance, the CIO, and the CIO's direct reports including calendar management and meeting planning.
  • Assist with events including agenda development, notetaking, material preparation, logistics, onsite support, government official vetting, and post-event reporting.
  • Handle key administrative functions including proofreading and revising documents, coordinating, and preparing Board, executive and departmental documents and presentations, answering telephone calls, scheduling and preparing for meetings, copying, and word processing.
  • Prepare for and submit corporate card expense and reimbursement reports, and review and approve invoices. Track payments, as requested.
  • Handle travel arrangements for staff and assist, as needed, with third-party travel reservations and planning.
  • Identify needs and issues and seek methods for resolving them.
  • Track all internal and external customer requests.
  • Manage communications of department with both internal and external customers.
  • Maintain complex records, which may include materials that are confidential in nature and essential to business operations.
  • Prepare written documents with clearly organized thoughts and using proper sentence structure, punctuation and grammar to record work performed and to document procedures and standards.
  • Present ideas clearly, both verbally and in writing, to share acquired information or knowledge; negotiate and discuss alternatives; and address problem/conflict situations.
  • Contribute to and participate in tasks and other special projects as requested.
    Position Requirements
    • Bachelor's Degree or minimum 5 years' equivalent experience is required.
    • Proficiency in MS Office Suite (including Word, Excel, PowerPoint, and Outlook) at an intermediate level.
    • Demonstrates meticulous attention to detail and highly organized work habits.
    • A commitment to accuracy, consistency, and thoroughness is necessary.
    • Professional attitude and considerable tact, persuasion, and judgment in interactions with internal and external parties is necessary.
    • Demonstrate superior interpersonal, verbal, and written communication skills.
    • Excellent phone manner and scheduling skills.
    • Speaks clearly and eloquently, representing the office in a professional manner.
    • Exercises discretion, confidentiality, and diplomacy always.
    • Prepare for and submit corporate card expense and reimbursement reports, and review and approve invoices. Track payments, as requested.
    • Handle travel arrangements for staff and assist, as needed, with third-party travel reservations and planning.
    • Works both independently and in a team-oriented, collaborative environment within the scope of responsibilities, anticipates problems, and uses sound judgment and problem resolution skills to act appropriately.
    • Ability to take initiative, multi-task, effectively prioritize and execute tasks, and work well in a high-pressure environment.
    • Willingness to rapidly learn new skills when the situation demands.
      • 8 (eight) + years in an administrative support role, interacting with Executives and other key stakeholders.
      • Data Analysis skills
      • Comfortable with learning new technological systems and upgrades as they arise.
      • Ability to quickly learn office technology, databases, and policies and procedures.
      • Experience with project site design and maintenance (e.g. SharePoint, Jira).
