Job Description:

SUMMARY To coordinate the general office administration for the Resorts General Manager. To provide clerical assistance to the General Manager and Senior Management as necessary. To provide assistance with routine and special projects for the General Manager and/or Senior Management. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Answer multi phone lines, take messages and answer general questions regarding complaints and inquiries. Resolve escalated guest concerns in absence of GM, AGM and FO Director . Mentor team members in HSKP, Engineering, and Front Office on SOPs, communications, and various systems (Excel, PowerPoint, Publisher, MR, CSD, Kipsu, Medallia, Egencia, Oracle Fusion, ADP payroll) Order for all departments in absence of inventory/receiver Review property payroll Assist GM on capital projects, creating all paperwork as well as monitoring budgeted guidelines Process new hire paperwork for all management and assist with on-boarding when required Author newsletters, flyers, and promotional material for seasonal events, wellness programs, and guest information. Includes paper inventory orders for Front Office and guest room collateral Monitor business rules and key performance indicators in work order management system (HotSOS) Process labor and material transfers for off-site locations Attend to corporate requirements and reports including weekly overtime and labor hours. Assist departmental managers with budget and RevPAR analysis on quarterly/yearly basis. SUPERVISORY RESPONSIBILITIES N/A QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE Associates degree with 2 years administrative supervisory experience, or equivalent combination thereof. Proficient with Word, Excel, PowerPoint, Publisher. LANGUAGE SKILLS Excellent organizational and communication skills. Ability to write, correspondence, and create presentations in English. Bilingual in Spanish and English is preferred. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. MATHEMATICAL SKILLS Addition, subtraction, multiplication, division, fractions, percentages allocation, and algebra. REASONING ABILITY Must be able to carry out detailed written or oral instructions. Ability to define problems, collects data, establish facts, and draw valid conclusions. PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to walk and sit.
