  • Work with all team members to ensure they have the tools and resources to be successful.

  • Communicate schedules to management
  • Manage inventory needs and forecasting
  • Setting up alerts when inventory is low and placing orders
  • Coordinating with our partners to manage distribution schedules
  • Manage our design team to ensure that all packaging design, manufacturing and final products are on time, on budget and sent to the correct manufacturer.
  • Establish companywide SOPs for all common functions across departments
  • This needs to be a strong person that has to be tough and needs to have a strong personality to deal with various personalities who often will oppose them in a business-like manner.JOB BRIEF We are a publicly traded company in a major growth phase that has multiple divisions spanning from distribution to retailers and product manufacturing. To continue on this trajectory, we're searching for a highly qualified Chief of Staff to report directly to our Executive Vice President and work closely with our executive team. From day one, the Chief of Staff will have an immediate impact on our productivity, streamlining strategic initiatives, overseeing program management, and communicating objectives between departments. The ideal candidate will have proven experience in a business leadership/management role, with a special focus on executive-level advising, project execution and key interdepartmental collaboration. Ultimately, the primary function of this role is to ensure everything runs smoothly throughout company operations for their executive leaders. We are looking for a responsible operations and project manager to administer and organize all types of projects from simple tasks to complex plans.Our Chief of Staff supports executive employees in their roles by taking over their smaller responsibilities or handling other day-to-day items. Their duties include attending meetings on the executive leader's behalf and taking notes, leading and implementing various strategic planning processes across the organization and providing leadership members with important company information to prepare them for upcoming meetings or presentations.Our Chief of Staff must possess confidence to take initiative and make decisions each day that can impact the business' daily operations. A strong background in business administration, finance, personnel management or related fields would be a bonus. Professional certifications in personnel management, operations management, data analysis and supply chain management may come in handy. Leadership training such as decision making, corporate governance, change management, negotiation, strategic leadership and business analysis are good to have.PRINCIPAL DUTIES AND RESPONSIBILITIES:A Chief of Staff will use strong leadership and problem-solving skills to assist with the daily operation of an organization. A Chief of Staff typically has the following responsibilities: --- Work with CEO to discuss and execute strategic planning for the business --- Responsible for managing and coordinating the daily activities of an organization. --- Be the residential expert on - our Project Management Tool - and provide training --- Overseeing strategic business initiatives from ideation to implementation --- Defining, implementing and revising operational policies and guidelines for the organization --- Providing Chief Executive and other senior leaders with insight and analysis on the company's operations --- Onboard all new team members including drafting of training materials and SOPs --- Provide CRM training and training on our technology --- Prepare, edit, and execute internal/external communications, presentations and sales tools --- Maintain company databases - when applicable --- Working with leadership to deliver, monitor and communicate progress towards goals --- Manage and support rapidly changing calendars for multiple leaders, ensuring that leadership and team members have all relevant materials and information for each meeting --- Supporting the administrative Team with other administrative tasks, if requested. --- They are responsible for ensuring that the company's operations are efficient and effective, and for identifying and implementing plans to improve efficiency and productivity where necessary. --- Monitoring and analyzing key performance indicators to measure the effectiveness of operations --- Liaising with departmental heads to develop financial plans and ensure company-wide operational compliance --- Keeping track of the company's revenue margins and conduct budget reviews to maximize profitsKNOWLEDGE, SKILLS, AND ABILITIES: --- STRONG COMMUNICATOR - Excellent verbal and written communication skills and mastery of English language --- Understanding the Company's Tech Stack - Proficiency in the following technology platforms:---Google Docs and Microsoft Office - Documents, word processing and spreadsheets --- Strong organizational skills and ability to function under time constraints and high pressure environments. --- Strong interpersonal skills to deal effectively with all business contacts --- Ability to plan, organize, and execute multiple projects within established timelines --- Detail oriented and demonstrated problem solving skills --- Managing budgets and financial plans for the Company --- Excellent customer service ability and attitudeMINIMUM REQUIREMENTS:---Proven work experience as a Project Manager, Operations, etc.---Hands on experience with CRM software and MS Office (MS Excel in particular)---Excellent organizational and multitasking skills---A team player with high level of dedication---Ability to work under strict deadlines---Certification in Marketing, Sales or relevant field is a plus
