POSITION SUMMARY:The Surgical Services Business Office Coordinator manages the timekeeping process for all surgical services departments, and provides administrative support to the Senior Director and other management/ department team members, as necessary.
TYPICAL DUTIES ANDRESPONSIBILITIES (including, but not limited to): The duties and responsibilities listed herein are not intended to be all inclusive but rather to indicate the primary emphasis of the job and establish the parameters for the necessary skill, effort, responsibility and working conditions that make up the job.

  • Provide administrative support to the Surgery Department Leadership, including meeting minutes, correspondence, reports and memoranda as directed.
  • Manage appointment calendars for Surgical Services leadership team and ensure coordination for meeting attendance.
  • Receive and screen telephone calls and visitors. Receive, open and distribute mail; answer routine correspondence without direction.
  • Manage the time and attendance process for all Surgical Services.
  • Must be able to collect, prepare and analyze data in creating operational and statistical reports for department leadership.
  • Administration of absence management process for all Surgical Services. Extract, analyze, and report data regarding absences to Surgical Services Leadership.
  • Monitor and report tardiness and absenteeism. Create summary spreadsheets for all attendance issues, inclusive of leaves of absence.
  • Prepare and maintain reports for all pending performance evaluations and submit to respective Surgical Services management team members, track process through to completion and submission to Human Resources. Ensure inclusion into employees' files.
  • Arrange meetings, reserve rooms, audio/visual equipment and refreshments. Maintains schedule for OR Education and OR Conference Rooms.
  • Coordinate travel arrangements, including transportation, accommodation, rental cars etc. ., as required. Prepare expense reports.
  • Maintains and utilizes Facility Scheduler. Update staff schedules, process corrections, and print time sheets, as necessary.
  • Support the Surgical Leadership in maintaining organized and timely responses in daily activities throughout area of responsibility. Track project deadlines. Assist with special projects as they arise.
  • Submit requisitions for Engineering, IT&S and EVS. Follow each requisition through to completion and report back to management on the progress.
  • Order and maintain supplies as needed.
  • Monitor supply of scrubs and request additional sets from EVS, when necessary.
  • Assist with JCAHO, CMS, State and other regulatory survey preparations.

    MINIMUM QUALIFICATIONS:Bachelor's degree in business or healthcare administration or equivalent required.
    EXPERIENCE: Minimum of 2 years experience as an administrative coordinator or other complex office assignments.
    KNOWLEDGE, SKILLS AND ABILITIES:Typing 60 words per minute. Computer word processing experience required.Advanced skills in Microsoft Word, Excel, and Power Point required. Quality of work is consistently high. Knowledge of hospital functions and policies. Must be able to maintain positive interpersonal skills and utilize effective communication skills, both verbal and written. Must be able to positively interact with a variety of people, employees at all levels, customers, physicians, corporate representatives, etc. Must be able to operate typical office equipment (fax, telephone, 10-key, calculator, computer, copier, scanner, etc.) Must be able to multi-task, anticipate the needs of the department and secure appropriate results. Must be organized and have ability to function in a fast-paced environment on a continuous basis with minimal direction and supervision.
