Overview

The Supervisor, Legal Operations will primarily be responsible for providing legal and administrative support on all Legal Department matters. The ideal candidate will have the knowledge and experience to optimize existing systems and build new processes as needed. The role will be a key contributor and will report to the Vice President and Deputy General Counsel.

    The Auctane Legal Department is a collaborative group of legal professionals that manages the legal work for the Auctane family of companies, including Stamps.com, ShipStation, Metapack, GlobalPost, Endicia, ShippingEasy, ShipWorks, and ShipEngine.

    Responsibilities

    Primary Objectives:
    • Evaluate, update and maintain the management filing system for contracts and legal records.
    • Review and draft standard legal documentation, filings and reports.
    • Support company corporate compliance, administrative, legal and regulatory policies.
      Essential Position Duties
      • Evaluate, update, and maintain the management filing system for contracts and legal records.
      • Evaluate current processes and identify, design, and implement operational solutions to increase ease of access, efficiency and filing consistency.
      • Review, update, and maintain templates, corporate forms, and internal shared Legal Department resources.
      • Support general recordkeeping of contracts and legal records across the global family of companies, including contracts management, regulatory and securities filings, legal invoice management, litigation document management, records retention, legal policies and communications.
      • Collect, track and analyze data for informed decision-making and regular monitoring and reporting.
      • Review and draft standard legal documentation, filings and reports.
      • Review and draft standard legal documentation, such as confidentiality and nondisclosure agreements and standard privacy agreements.
      • Assist with the preparation of commercial contracts, including data entry, proofreading, and coordinating exhibits.
      • Review and evaluate communication received by the Legal Department for filing or processing.
      • Ability to support and manage the preparation of securities filings, including Section 16 filings.
      • Manage and monitor local, state, national and international requirements for business operations and qualifications for the company and its subsidiaries, including the preparation of related filings, management of external vendors and management of the related compliance calendar.
      • Manage records for corporate subsidiaries, director and officer information, subsidiary governance policies, and compliance processes.
      • Assist with requests for information, certifications and documents from our internal and external auditors, regulators, partners, customers, and other stakeholders.
      • Support company corporate compliance, administrative, legal and regulatory policies.
      • Collaborate and partner with Legal Department team members and different functional groups and teams in the company to implement policies and processes.
      • Perform additional duties as assigned from time to time, including projects supporting securities trading, data security and privacy initiatives, litigation information management, and other special projects.

          Qualifications

          Required Education and/or Experience:
          • Bachelor's degree.
          • Four or more (4+) years of relevant prior work experience.
          • Project management or contracts administration experience a plus.
          • Paralegal certificate from an ABA-approved program a plus.
          • Notary public a plus.
          • Experience with international expansion a plus.

              Computer/Software/Application Proficiency
              • Good working knowledge of Google Workplace tools, especially cloud document storage tools, also Microsoft Word, Adobe Acrobat, SharePoint, PowerPoint and Excel
