JOB SUMMARY Under the direct supervision of the Senior Director of Community Engagement and Partnership, the Administrative Coordinator this provides both general and project-specific administrative support to the Executive Directors of Community Engagement and Partnership in their assigned geographic footprint. Skillsets are also used to provide support to both the Vice President of Field Operations and Senior Director on an as needed basis. In addition to typing, filing, and scheduling, the administrative coordinator will perform duties including data record-keeping to support mission outcomes; financial data as requested by the Finance Department; assuring policies and procedures are followed; coordination of meetings and conferences, securing supplies, coordinating mailings and working on special projects as directed. The administrative coordinator answers phones and responds to basic information and referral inquiries. Independent judgment is required to plan, prioritize and organize a diversified workload and provide recommended changes in virtual office practices or procedures. The administrative coordinator is involved in decision making, multitasking, taking initiative and must possess the ability to coordinate numerous projects or activities at one time. Consequently, this position will also assist with meeting logistics, grant processing, and reporting and communications. ESSENTIAL DUTIES AND RESPONSIBILITIES Perform a variety of administrative activities for the staff assigned to specific geographic footprints. Assignments typically involve office support activities that require working knowledge of Epilepsy Foundation operations and procedures. Provide administrative support to the Vice President of Field Operations and Senior Director as needed, including but not limited to organization and maintenance of electronic filing systems, reconciliation of credit cards, travel schedules, meeting minutes and development of universal documents. Maintain operational work plan for all assignments and projects under this position. Prepare the output of professional documents as requested, including letters, memoranda, reports, sponsorship or grant proposals, etc.; and ensures all adhere to established EF style guides and formats. Professionally and with the disposition of team unity, interact with EF national office staff as needed. Keep accurate and complete constituent records. Compile data from numerous sources and produces summary reports as required under general direction. Route mail and emails when needed Interface with local staff and board members concerning reporting, exchange of information and general administrative support. Order literature, office supplies and printing needs. Proofread typed data ensuring proper spelling, punctuation, and grammar usage; perform minor document revisions to ensure clarity. Coordinate and or complete special projects as required. Perform other duties as assigned EDUCATION/EXPERIENCE High school diploma or equivalent required with a bachelors degree preferred. Three (3) years of related work experience. SPECIFIC KNOWLEDGE, SKILLS, ABILITIES, LICENSES, CERTIFICATIONS, ETC Ability to work independently with minimum supervision. Proficiency in Microsoft Office applications and data-based software platforms. Experience with Adobe Professional and other graphics programs desirable. Demonstrated experience in administrative and clerical support. Strong verbal and written communication skills. Bilingual (English/Spanish) preferred. TELEWORK This position will be eligible for telework from an approved alternative worksite based on EF policy. TRAVEL Travel and work might be required on some evenings and weekends for events and/or selected programs. Powered by JazzHR
