community is looking for an Administrative Assistant.
JOB TITLE: Administrative Assistant (Non-Exempt Employee)
DEPARTMENT NAME: Administration
Function as the Community's Administrative Assistant, while
meeting, or exceeding Western States Senior & Retirement
Communities service standards. Perform secretarial and clerical
duties to support business needs.
Reports directly to: Executive Director
Supervises: weekend and evening receptionists
Interfaces with: Residents, families, visitors, and
PRIMARY JOB DUTIES
Serve as telephone receptionist for the Community while meeting
or exceeding Western States Senior & Retirement Communities service
Receive, record, transfer telephone calls to appropriate
parties; take and deliver telephone messages as necessary; acquire
in-depth knowledge of community telephone system to effectively
utilize system features.
Respond to telephone inquiries appropriately and/or direct call
to proper departments.
Assist with employment inquiries as directed.
Assist with the Community's marketing/sales process by answering
inquiries concerning the Community both over the telephone and in
person; all inquiries should be handled according to Western States
Senior & Retirement Communities service standards.
Sort and distribute incoming mail according to Community
Provide typing and/or word processing services for
administrative office correspondence; assist with other business
office functions, e.g., materials' preparation, reports, etc.
Process Community's payroll by entering employee, time, and
compensation information in to the payroll system.
Take the lead on incoming employees and their regulatory
mandates in order to work at LHSH
Ensure that all requirements are completed prior to Staff
Maintain all HR records according to company guidelines.
Ensure that all receptionists understand fire panel and exactly
what to do in case of a fire alarm.
Ensure that front door is monitored during work hours.
Process Community's Resident Billing, update system to maintain
Maintain and protect the confidentiality of resident information
at all times.
Meet, or exceed, Western States Senior & Retirement Communities
standards of appearance; comply with Western States Senior &
Retirement Communities sanitation, hygiene and health standards of
Perform other reasonable tasks as assigned by supervisor.
Ability to effectively communicate via the telephone.
Knowledge of or ability to learn Microsoft Office; ability to
use a personal computer, type writer and other office equipment
Ability to perform basic mathematical calculations
Ability to effectively communicate with residents, families,
Ability to provide secretarial and clerical services in a senior
housing environment which meets, or exceeds Western States
Retirement Communities service standard
Willingness to work with the elderly.
